Reporting to the General Manager: On Air Operations. Your Key Performance Areas include: Administration and Office Support Managing the diary for the On Air Operations Management team. Systematically filing documents and electronic information. Assessing requirements for purchase of office consumables. Requesting quotations and generate orders on behalf of the On Air Operations for stationery or office equipment. Reconciling invoices for payment. Maintaining expenditure spreadsheet for invoices, orders and payments. Reconciling refreshment vouchers. Reconciling variance reports against allocated budgets for the fiscal period. Extracting and recording information for monthly broadcast quality reports. Handling telephonic enquiries, correspondence, faxes and emails. Handling of confidential information in a professional and discreet manner. Liaising with internal departments and various external contacts. Ensuring that paper copies of OAO personnel files are given to HR and scanned for electronically filed for OAO. Setting up meetings and ensure Reporting to the General Manager: On Air Operations. Administration and Office Support

Managing the diary for the On Air Operations Management team.

Maintaining expenditure spreadsheet for invoices, orders and payments.

Reconciling refreshment vouchers.

Reconciling variance reports against allocated budgets for the fiscal period.

Extracting and recording information for monthly broadcast quality reports.

Handling telephonic enquiries, correspondence, faxes and emails.

Handling of confidential information in a professional and discreet manner.

Liaising with internal departments and various external contacts.

Ensuring that paper copies of OAO personnel files are given to HR and scanned for electronically filed for OAO.

Setting up meetings and ensure all necessary facilities are in place.

Taking and distributing minutes of meetings.

Collating training information, reports, and standard operating procedure (SOP’s) in communication with OAO Managers.

Submitting departmental training forms and reports.

Assisting in recruitment: set up interviews, distribute CVs etc.

Inducting new staff members.

Assisting on ad hoc departmental requirements.

Coordinating of refreshments when necessary.

Coordinating Schedule information

Assisting the Presentations Manager with the As Run Process.

Liaising with the CSR department to track and coordinate Public Service Announcements for broadcast.

Managing a PSA tracking spreadsheet per fiscal, and communicating necessary information to the Presentations Promo Trafficking team.

Creating and updating weekly Eskom Power Alerts logging sheets and collecting from and delivering to, FCC.

Sending details of Eskom Power Alerts spots from the previous day’s transmission to CTS daily.

Filing Eskom Pop ups in the On-Air network folder.

Scheduling

Creating schedules and ensuring responsible for the distribution of the final schedule by:

Completing the Library process for each schedule ahead of promo scheduling

Inserting special placement promotions

Promotion scheduling

Liaising with CTS in order that they may schedule commercials

Finalizing the schedule ahead of generating the playlist

Generating the playlist

Creating and distributing the printed schedule

Event and travel coordination

Event planning for all conferences, workshops, and team building activities

Coordinating all travel arrangements, local or international, including visa applications, arranging S&T and drivers

Minimum Requirements:
A relevant qualification in Office Management, Administration or Media Communications would be advantageous.

A minimum of 3 years as an Office Administration and coordination experience.
