Vacancy for a Bulk Team Leader with good experience within the pharmaceutical, manufacturing industry.
Outline of Job Function

Overseeing of putting away / storing / picking, as well as controlling and processing, of LVP / SVP stock from the COMPANY Manufacturing Unit. Dispatching of LVP / SVP / Import stock to the branch COMPANYSA Warehouses. Supervision and control of Dispatch staff. Ensuring compliance of operations to GMP/GWP/GDP requirements. Accountability for stock inventory control.

Job Function

Put-away of stock received from the Manufacturing Unit;
Distribution of SCT’s for picking;
Control of picking of SCT’s for LVP’s and SVP’s;
Planning of truckloads in liaison with Demand Planning;
Completion of all computer transactions, documentation / logbooks, as per sop’s;
Checking of LVP/SVP picked orders for dispatch;
Staging, shrink-wrapping, labelling and covering of picked / checked stock with thermal covers for all orders of LVP’s, SVP’s and Imports + Samples, etc.;

 

 
Controlling of loading of trucks, including ensuring SCT’s are created to fill-up the trucks, and, where necessary, handling last-minute orders and possible changes in SCT’s for delivery, based on late releases / availability of stock and urgent deliveries, always in liaison with the Warehouse Supervisor, and the Warehouse Manager, as required;
Dispatching of stock to COMPANYSA warehouses, and liaising with respective staff at the various branches in terms of documentation and scheduled times-of departure / arrival, as required;
Ensuring timeous departure of vehicles to branches;
Where necessary, loading of additional, unplanned trucks, as may be determined at very short notice;
Liaising with Warehouse Supervisor and Dispatch staff, or other staff, in the event of overtime, which is most often unplanned and at the last minute, due to the nature of the business;
Storage, control and application / use of thermal covers;
Control and accountability for all inventory under Bulk Team Leader’s supervision;
Planning and ensuring regular Cycle Counts are performed on LVP’s and SVP’s, in accordance with SOP’s, and timeous resolution of stock discrepancies;
Stock Control, Stock-Take and timeous resolution of stock discrepancies, in liaison with the Responsible Pharmacist and the Warehouse Supervisor;
Attendance in daily production meetings between Responsible Pharmacist / Warehouse Manager and senior warehouse staff;
Supervision of Dispatch staff and maintenance of discipline according to the COMPANYSA Policies and Procedure Handbook, including the COMPANYSA Disciplinary Code;
Organising / coordinating Dispatch staff leave, in liaison with Warehouse Supervisor and Warehouse Manager, and involvement in staff time-keeping, absenteeism, leave, etc.;
Enforcing GMP / GWP / GDP requirements, SOP requirements and Safety requirements, as per Act 6 of OHS Act;
Ensuring that SOP’s are followed within the Dispatch Department;
Liaison with service providers, and resolution of applicable warehouse queries;
Ensuring housekeeping is in compliance with GWP / SOP requirements;
Timeous drawing up / completing any reports / data information as requested by the Warehouse Manager;
Support in enforcing changes / updates / training in any aspect pertaining to this operation;
Any duties that may reasonably arise pertaining to the smooth running of the warehouse.
If in possession of a forklift or reach truck driver’s license, assist in any of the applicable functions, if required
EDUCATION: FORMAL QUALIFICATIONS

Level of Education:

Grade 12


Skills & Experience:

Preferably 5 years supervisory experience, Syspro, MS Excel
Forklift / Reach-truck Driver’s License a recommendation
Supervision of Dispatch staff.


Competencies:

Must have experience in the pharmaceutical industry, with knowledge and understanding of GMP / GWP / GDP and the control and handling of medicines;
Good planning abilities, with timeous follow-through;
High attention to detail and accuracy, in adherence to SOP’s, good documentation, records, picked stock, processes, systems, requirements, etc.;
Interpretive skills, with the ability to resolve variances, etc.;
Strong and respectful leadership and people skills; (needs to be firm and fair, in compliance to COMPANYSA standards, and not influenced negatively by difficult or strong personalities);
Excellent handling and resolution of conflict;
Must have integrity and ethics; honesty and openness are key;
Be a good fit on the warehouse management team;
Ability to be proactive in processing of operations, in order to ascertain / avoid and prevent future problems;
Excellent understanding on aspects of safety, especially in a warehouse environment and where heavy duty vehicles and super links are being handled on a daily basis, and heavy pallets of fragile stock are being moved continuously;
Excellent technical knowledge on operational and transport vehicles;
Understanding on warehouse systems – (fire sprinklers, pumps, air-handling, etc.) – would be an advantage;
Must be teachable, and able to follow instructions, and impart information to respective staff;
Expected to maintain a very high level of compliance to all of the requirements of the SA Pharmacy Act, including GMP / GWP / GDP and SOP’s;
Fastidious control over ensuring staff comply to all standards, including good documentation and record keeping;
Willing to work overtime frequently, as required, and most times, unplanned and at short notice, so that trucks can be loaded and dispatched same day, even when there are unforeseen delays and problems;
Must show initiative within his/her domain of authority, and actively follow-up on activities / actions, etc. required;
Experience and understanding in handling very high value and very sensitive medicinal product, so that inventory is always accurate, stock is handled with due care so as to prevent damage and breakage, and that it is delivered in excellent condition timeously, always in the ultimate best interests of the patient;
Show an interest in personal growth, and able to be cross-trained;
A person with a positive attitude and demeanor, who leads by example;
A great attitude is critical in this environment, as this person needs to handle strong management and the expectation of very high standards;
Must support and provide the necessary back-up to the Warehouse Supervisor in his functions.
